Privacy Policy

1. Who This Applies To

This Privacy Policy describes how Teknewlogy LLC ("ReserveLoop," "we") collects, uses, and protects information from Club Owners, Staff, Guests, and Ballers who use the ReserveLoop platform. Clubs are independently responsible for their own privacy obligations to their guests under applicable law; this policy covers ReserveLoop's handling of data as the platform provider.

2. Information We Collect

Club Owners and Staff: name, email, and authentication data (via Clerk), club details, and usage data.

Guests and Ballers: name, phone number, and payment information provided at booking. Guests are not required to create an account. Payment card data is processed directly by Stripe and is never stored on ReserveLoop's servers.

SMS Consent: if a guest opts in to receive SMS campaigns from a Club, we record that consent and the time it was given. Guests may opt out at any time by replying STOP, which is honored immediately and permanently for that phone number.

3. How We Use Information

We use collected information to operate the reservation and deposit system, generate QR check-in passes, provide Club dashboards and analytics, send transactional notifications (booking confirmations, payment issues), and, where consented, deliver SMS/email marketing campaigns on behalf of a Club. We do not sell guest or Club data to third parties.

4. Third-Party Service Providers

We rely on the following subprocessors to operate the Platform:

• Clerk — authentication and account management
• Supabase — database hosting, with row-level security isolating each Club's data
• Stripe — payment processing and deposit handling (Stripe Connect, direct to each Club's own account)
• Twilio — SMS delivery, using each Club's own connected account and credentials
• Resend — transactional email delivery
• Cloudinary — image hosting for event and club media
• Vercel — application hosting

Each provider processes data solely to the extent necessary to deliver their respective service and is bound by its own privacy and security terms.

5. Data Isolation Between Clubs

Every Club's data is isolated at the database level using row-level security policies scoped to that Club. Staff can only access data belonging to their own Club. Platform Admins have cross-club visibility solely for platform operations and support.

6. Data Retention

Reservation records are retained indefinitely and are never permanently deleted, even when cancelled, in order to preserve an accurate financial and deposit audit trail. Guest and table records may be deleted by a Club once no longer tied to an active reservation.

If a Club is deleted from the Platform, associated operational data is removed, but this does not affect records retained by Stripe, Twilio, or other third parties independently of ReserveLoop.

7. Your Rights

Depending on your location, you may have the right to request access to, correction of, or deletion of your personal information. Guests should direct such requests to the Club they interacted with; Club Owners and Staff may contact us directly.

8. Security

We use industry-standard safeguards including encrypted credential storage (Supabase Vault for per-club integration secrets), row-level security, and access controls scoped by role. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Cookies & Analytics

We use essential cookies that are required to operate the Platform - primarily authentication and security cookies set by Clerk when you sign in. These do not require consent and cannot be disabled.

With your consent, we also use Google Analytics to understand how visitors use our website. Analytics cookies are set only after you accept them via our cookie banner, IP addresses are anonymized, and Google Signals (advertising and cross-device tracking) is disabled. You can withdraw consent at any time using the "Cookie Preferences" link in the footer. We do not use advertising cookies or sell data collected through analytics.

10. Children's Privacy

The Platform is not directed to individuals under the age of 18, consistent with the age requirements of the venues it serves. We do not knowingly collect information from anyone under 18.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
